Privacy Statement

SUMMARY

Baileys of Glenrowan is committed to upholding the integrity of personal information of its customers.

When we collect your information, we undertake to:

  • Use your information only for the purpose intended or reasonably expected (for example, when adding your address to our mailing list or wine club, you should expect to receive information and special offers via email or mail from Baileys of Glenrowan).
  • Maintain security of your information, particularly sensitive information such as credit card details.
  • Maintain our records to keep them as up-to-date and accurate as possible.
  • Allow members access to the personal information that we hold about them upon request.

Importantly, we promise not to sell or to pass on your information to third parties, including other divisions or business units of our company (some reasonable exceptions, such as contracted service providers like Australia Post, are set out in detail in our detailed privacy statement).

PRIVACY STATEMENT DETAIL

Collection, Use and Type of Information Held

We collect information from individuals when they contact us by phone, mail or email. We use this information subsequently to respond to requests for information or service. We will not use this information for our Bundarra Wine Club, Bundarra Gold Club or our mailing list unless this is specifically requested.

Our website provider collects information about the browsing habits of our website visitors. We do not use this information to try to identify people.

We collect identifying information from people who choose to join our wine club, "Bundarra Wine Club". This information may include: telephone numbers, mailing address, delivery address, delivery instructions, contact preferences, email address and name. We use this information to contact members from time to time, with information about our products, special offers and events and to distribute newsletters. Delivery address, delivery instructions and credit card details will be used to fill specifically requested orders.

We collect further information from members who join our subscription wine club, "Bundarra Gold". When people choose to join Bundarra Gold, we collect information that may include: name, address, delivery address and instructions, phone number, wine preferences, delivery frequency preferences, email and credit card details. This information is used for the purposes of the wine club (as above for Bundarra Club). Credit Card details of Bundarra Gold members are used for automatic deductions twice annually, with the cost depending upon the option chosen by the member. We will not make further deductions from this credit card unless this is specifically requested by the member.

When a Bundarra Club member or Bundarra Gold member contacts us and identifies themselves, we may collect details of the correspondence or discussion. This information may be stored with the other information on the member and it may be used to better tailor our service and offers for specific members.

When a member purchases wine from us through the website, mail, fax, email or cellar door, we collect information about their purchase. We only collect such information from members  if they identify themselves at the time of purchase, which is required in order to receive the relevant discounts. Information that may be collected includes the monetary value of the purchase, the date and time of purchase and the types and amounts of products or services purchased. This information is used to improve our products, services and special offers and it may be used to tailor offers for specific members.

Data Security

We take reasonable steps to ensure the security of all personal information that we collect from customers, wine club members and the general public. Electronic files that contain sensitive information are secured with passwords. Hard copy files with sensitive information, such as mail order forms and wine club registration requests, are kept in locked filing cabinets. Whilst being processed, these files may be kept in places that are not locked, but that do provide physical restrictions upon access so that they cannot be read by unauthorised personnel or the general public.

Access and Correction

Requests from members for removal from our mailing list or cancellation of their membership will be completed within 28 days from the date of our receipt of the request. We may retain information on the wine club access code, date of request for deletion, reason for deletion, purchase history and postcode, however all identifying information will be deleted. Information retained would be used to ensure the integrity of our database. If a member wished for their wine club access code, purchase history and postcode to be deleted, they may specify this at the time of the cancellation/removal request.

Cancellations or removals as a result of returned mail or email with no other information will be treated as wrong address requests. For wrong address deletion requests, the identifying details of the member may retained, however, we will not continue to use the mail or email address that had been identified as incorrect.

Members of Bundarra Gold, Bundarra Club or our mailing list may access their personal information file upon request. There will be no charge for such requests. Responses to requests for access to personal information will take up to 28 days from our receipt of the request.

Disclosure of Information

We do not disclose the personal information of our customers or members to any third party, including other divisions of our parent company, government organisations, other companies or other people, unless it is in the following circumstances:

  • The member or customer has specifically requested such disclosure
  • It is required by law
  • It will prevent or lessen a serious and imminent threat to somebody's life, health or property
  • It is done to provide a requested or expected service (eg passing delivery details on to delivery providers such as Australia Post). If we pass details on to other companies in order to provide a service, we will do so only with an agreement that they may not retain your details for purposes other than providing the contracted service.
